LMS Reports: What an Admin Should Know

Reporting is the backbone of an LMS. Let's see the fundamental things every admin should know to make the most of this fundamental tool.

Why are Reports so Important?

One of the most important features of an LMS is the possibility of having detailed and customizable reports. Through reports, it is possible, for example, to know the date on which a user started a course, the last access, the quizzes carried out, and the relative scores. In the context of corporate training, for various reasons these are very important data, depending on the type and/or category of course:

1. Courses on Hard and Soft Skills

In hard and soft skill courses, reports help us understand if the training has been effective and if there are areas to be further strengthened. Data emerging from reports are not ends in themselves, but are key performance indicators in many of the strategic analyzes of an organization and are essential for understanding the relationship between training and ROI.

2. Compliance Courses

With regard to compliance courses, reports help us to be sure that the participants have absorbed vital information for safety in the company but they are also the only way to ensure compliance with legal requirements. In reports, it is easy to analyze course completion data by name, job role, country, team, etc.

In the case of compulsory occupational safety courses, complete tracking reporting gives the company the certainty that its employees have complied with the legal obligation.

Some Important Data Contained in Reports

First, in LMS like Forma, you have user and course reports available.

Reports on Courses

In course reports, some of the most important data you have access to is:

  • Course name and topic
  • Names and details of the participants
  • Progress and percentage of completion
  • Statistics

Reports on Users

As for participants, you can instead access information such as:

  • Details of participants and courses they are enrolled in
  • Start date and first access
  • Course status, for example, if it is still "in progress"
  • Last Access
  • Total time dedicated
  • Test score

How to create a Course Report with Forma Lms

It is important to periodically know the state of use and progress of a course. Reports play an essential role in this. Each report can be created by entering the data of interest according to your needs. We can, for example, know exactly the number of participants who have not started or who have not finished a course and decide whether it is appropriate to prepare a reminder mailing.

There can be several categories of reports. Forma, for example, offers three:

  • Users-courses: shows data related to a list of users
  • Users-courses: Shows data related to a list of courses
  • Aggregate: Shows aggregated data based on selected courses and users
To create a report, you must, therefore:

  1. Select the category
  2. Select a filter or categories you are interested in
  3. Select the type of report
  4. Select columns and criteria within the chosen type

The reports can then be viewed online or downloaded in .csv or .xls format. They can also be automatically generated and emailed to chosen users.

Sending reports: to whom and when?

You can decide to send the reports periodically to selected users, for example, every week (choosing the day) or every month. It is important, however, to know who to send them to and when. For this reason, it is essential to conduct a training needs analysis so that the right reports arrive in the right hands ... at the right time, that is, when there is still an opportunity to intervene and offer employees targeted support resources based on performance and skills gaps. Choosing the right reports and scheduling them is therefore essential to support participants and get the best out of online training for your company.

What else can you do with Forma Reports?

Forma Lms allows you to do more, for example, to automatically send a detailed report of each user's use (his tracking and test compilations) to both the individual user and his contacts (via the Doko plugin).
